Rental Policies
BUILDING USE POLICY AND TERMS
The renter/user agrees as follows:
- To pay for any damage or loss to Fellowship property.
- To relieve the Fellowship of damage or loss of materials owned by or in the care of the using group (e.g. art works, musical instruments, etc.)
- To return the Fellowship building to its original condition by the end of the event as directed by the CUF Building Use Manager. Large events with many helpers should plan a pre-meeting to go over requirements of facilities use. The Building Use Manager will remain on site until the end of the event to ensure the building is returned to its original condition and secured. The Building Use Manager is not responsible for any set-up or clean-up of the event.
- To engage the use of the CUF Audio/Visual Technician for any audio/visual needs during my event. Technician will be on a 3-hour schedule only. Use of any audio/visual equipment belonging to the Fellowship must be run and used by the Carbondale Unitarian Audio Visual Technician(s) only.
- Piano & Organ: Use of the organ or piano is granted by permission of the Music Committee Chairperson only. Groups who are concerned with the tuning of the piano may have it tuned at their own expense and must use our recommended tuners (names provided by church Music Committee Chairperson). To obtain this permission and instruction Carbondale Unitarian Fellowship requires permission be requested at least 10 business days before the event.
- Selling alcohol on Fellowship property is strictly forbidden.
- Use of tobacco products is prohibited in and around the Fellowship building.
- Kitchen: Dishes, pots, silverware, and tablecloths are available for use by groups who have reserved the kitchen area. Groups may not use the Fellowship’s disposable materials or other provisions located in the kitchen. Each group using the kitchen must leave it clean and returned to its original condition. You must remove all leftover food, beverages, and food preparation equipment. Soiled tablecloths should be left in a neat bundle on the counter. Trash must be put outside in the trash bins. Fellowship members and friends are expected to take soiled linens home for laundering and return them to the Fellowship within seven (7) business days after their event.
- Candles: Direct adult supervision is always required for lit candles. Use of any other fire, smoke or combustible material is strictly forbidden anywhere in the Fellowship building or on Fellowship grounds.
- The facility shall not be used for partisan political events.
- The facility shall not be used for financial gain/profit except when the net proceeds raised are for the use of verifiable charities, the Fellowship, or other nonprofit groups.
- The facilities may not be used for events that may have a negative impact on the neighborhood (for example: loud concerts which can be heard outside of the Fellowship), and all activities must comply with all federal, state, and local laws and regulations.
The following items are prohibited from use in our building & grounds:
- Glitter, Confetti, Sequins
- Helium balloons
- Fireworks
- Birdseed or rice
- Freestanding decorations only are allowed: no tape, sticky tack, strings, tacks, glue, or staples may be used. Affixing items to Fellowship walls is prohibited.
- All set-up before event, clean-up, and restoration after event of the Fellowship space is the responsibility of the user and to be completed within the rental time of 3, 4 or 5 hours. All clean-up must be completed and the building vacated by 11 p.m. of the event date.
- No materials (such as caterer’s supplies) may be left in the building after the event. No materials can be stored in the building prior to the event.
- The security deposit will be returned after CUF Board approval (minus any charges)
- User shall defend and indemnify the Carbondale Unitarian Fellowship against all claims and liability arising during the term of this agreement from injury to person or property, occasioned wholly or in part by any act or omission of user, or of its guests, employees, or any other attendee.
- The Fellowship name shall not be used in any way as publicity or endorsement of a particular political candidate, party, or platform
- Users are responsible for the supervision of those attending their activity and for compliance with the policies and conditions of use. Any children in attendance at scheduled events must be properly supervised in accordance with the Fellowship’s childcare policy. If any part of the building is used for childcare purposes, the children must be supervised by at least two caregivers, one of whom is an adult. In all such cases, there must be at least two adults in the building, at least one of whom is age 25 years or older.
- The Fellowship reserves the right for use of the facilities in rare cases of emergency. If your event is canceled for this reason, your fees will be refunded in full.
- The Fellowship reserves the right to amend the building use and policies.
